Everything you need to get the most out of ViraKeys.

Getting Started

ViraKeys is a secure, team-friendly platform for storing and managing all your software licenses in one place. Here's how to get up and running in minutes:

  1. Create your account — Sign up for a free account at virakeys.com/register.
  2. Add your first license — Go to My Licenses → Add License. Paste the product URL and the icon is fetched automatically.
  3. Invite your team — Visit Team in your account menu to add viewers and control what each person can see.
  4. Set up renewal alerts — Add an expiration date to any license and you'll receive email reminders before it expires.

Managing Licenses

Each license card stores:

  • Product Name & URL — the software and where to access it.
  • License Key — stored encrypted, revealed on demand with the eye icon.
  • Username & Password — optional credentials tied to the license account.
  • Category — organise licenses by type (Design, Dev Tools, Marketing, etc.).
  • Expiration Date — shows a color-coded badge: Active Expiring Expired
  • Notes — freeform notes, opened via the Notes button on the card.

Use Import CSV to bulk-upload licenses or Export CSV to back them up.

Team & Permissions

ViraKeys supports three roles:

  • Admin — full access to all settings, users, plans, and every license.
  • Manager — can create and manage licenses, invite viewers.
  • Viewer — read-only access to licenses explicitly assigned by a manager. Managers control which fields (key, password, etc.) each viewer can see.

To assign licenses to a viewer, go to Team → Assignments next to their name.

Download Center

Admins can upload files (themes, plugins, assets) and attach them to specific plans. Users on an eligible plan see and can download those files from the Downloads section in their menu.

Google Drive & pCloud (optional)

Connect your own cloud account in ViraKeys to save a license-detail CSV export or use a ZIP file you select as a source for an authorized product download. The export and original ZIP stay in your connected cloud account; ViraKeys does not keep a separate server-side copy of either file. The export includes license names, URLs, categories, expiry dates, statuses, and notes, but not license keys or passwords.

  • Backups: Connect Google Drive or pCloud from your account's integrations, then run a sync or enable daily sync. The export is saved to your connected account.
  • Product-file downloads: Select a ZIP from your connected account. ViraKeys stores its file reference and basic metadata, and streams that file to an authorized recipient when needed. Your original ZIP remains in your cloud account.
  • Google permissions: drive.file creates and manages files used for ViraKeys backups. drive.readonly lets ViraKeys list Drive files to find eligible ZIPs and read the ZIP you select. Google describes drive.readonly as permission to view and download all Drive files, even though ViraKeys uses it for the features described here.
  • Disconnecting: You can disconnect in ViraKeys at any time. This stops future access; product-file references may need a new source afterward. See the Privacy Policy for the current rules on export retention and deletion in your cloud account.

Billing & Plans

Manage your subscription from the Billing page. You can upgrade, downgrade, or cancel at any time. Changes take effect at the next billing cycle. All payments are processed securely via Stripe.

REST API Pro+

The ViraKeys REST API lets you read and manage your licenses programmatically. Available on Pro and Agency plans.

Rate limit: 60 requests/minute per token. All responses are JSON.

Frequently Asked Questions

  • Is my data encrypted?
    Yes — license keys and passwords are encrypted at rest.
  • Can I export my licenses?
    Yes — use the Export CSV button on the My Licenses page at any time.
  • How do renewal reminders work?
    When a license has an expiration date, the system sends email alerts 30 days and 7 days before it expires.
